What a restaurant in Arunachal Pradesh taught us about building software

How does a real restaurant shape Restro OS?

A real restaurant shapes Restro OS by showing us what a busy day actually needs. Tandoori Kitchen in Arunachal Pradesh handles more than 100 orders a day on Restro OS, and at that volume, any gap between our software and the way the restaurant runs shows up quickly.

Three needs stood out, and all three came from real work rather than a feature list:

What we learned What Restro OS does now
Credit Keeps a record of who owes what, and since when
Expenses Records every payment made, and shows the monthly picture
Daily cash Shows how much cash should be in the drawer
Offline Keeps orders, kitchen tickets and bills running without internet

Why do Indian restaurants need a record of customer credit?

Indian restaurants need a credit record because giving credit to people they know is a normal part of doing business. A regular eats now and settles up later. That runs on trust, but trust still needs a record, and a notebook can't tell you the total owed or how long it has been outstanding.

So credit became part of billing in the Restro OS POS:

  • Credit at the counter: choose Credit when billing, for the whole amount or as part of a split payment. A phone number is enough, and if the customer already owes you, you see how much.
  • One screen for what's owed: the Credit screen shows who owes what and since when. Tap Record payment when they pay back by cash, UPI or card.
  • Old khata balances: add an existing customer with what they already owe, so moving from a khata book doesn't mean starting again.
  • Credit outside a bill: record goods or cash given outside a bill, with a note saying what it's for.
  • An honest record: a mistaken payment isn't deleted. It's voided with a reason, so the history stays intact.

How do restaurants keep track of expenses and petty cash?

Restaurants keep track by recording each payment as it happens, because the money going out matters as much as the sales coming in. Vegetables, gas and a staff advance are all paid during a normal day, often in cash.

The Expenses screen records the amount, a category, how it was paid (cash, UPI, card or bank) and, if you like, the vendor. A mistake can be voided with a reason or corrected. Nothing is ever deleted, so the record stays honest. The Month view shows spending by category and by day, compared with last month, and exports to Excel.

We didn't build a separate petty cash book. Small cash payments go in as cash expenses, and Cash in drawer in Reports does the arithmetic: cash sales and credit paid back in cash, minus cash expenses and cash refunds. Add your opening float, and that's the figure the drawer should match at the end of the day.

Why does offline operation matter in hilly regions?

Offline operation matters because a connection can't be taken for granted in hilly regions, and the lunch rush doesn't wait for it to come back. If billing stops when the internet stops, the restaurant stops too.

The Restro OS desktop app now keeps the core of service running for up to 14 days without internet:

  • Orders and tables: take new orders, add items and update table status.
  • Kitchen tickets: they print immediately, with no connection needed.
  • Bills: each PC numbers bills from its own offline series and prints them at once. Credit bills show up on the Credit screen straight away.
  • Expenses and saved reports: expenses keep working, and each PC keeps the last 14 days of reports so you can still check sales and who owes what.
  • Automatic upload: everything is saved on the PC and uploaded in order when the connection returns.

Offline has limits, and it's better to know them up front. The first sign-in on a PC, validating coupon codes, and editing the menu or settings all need a connection, and so does the link between the Captain app and the POS. While a PC is offline, its saved reports won't include bills from your other devices until it reconnects.

What comes next?

More of the same: we'll keep learning from restaurants like Tandoori Kitchen and building what they need. You can follow every release in the changelog, and read about where this started in our launch post.
